The University Archives collects monographs or serials published by the various colleges and administrative units on campus. These materials are managed and described like other archives collections. Additional copies of these publications may be held in branch libraries, through the creating unit’s web site or the Library’s digital repository. Copies of these publications tend to be collected, managed and described like other library materials. The information which the Archives collects and maintains about University publications may be minimal and may not be easily accessible to researchers, other librarians, or staff in the creating units. Often the print holdings in the Archives are more complete than what is available elsewhere.

How do researchers find these materials or their contents? Is it possible to develop workflows that allow the university archivist to collect and maintain university publications at a collection or unit level and simultaneously provide bibliographic item level access to those publications? In today’s environment of high levels of technology, library and archives online management systems, and discovery systems, is it possible for libraries and archives to work collaboratively to provide deeper access to these hidden collections?

Ruth Bryan (University Archivist), Cindy Cline (Cataloger), and Kinsey Hisle (Graduate Assistant), used publications from the University of Kentucky’s College of Agriculture as a model to test workflows, accessibility and storage. We envisioned and are testing a cooperative workflow between our units, using ArchivesSpace, Alma, AEON and Primo to provide provenance control, bibliographic control, inventory control and accessibility.
